Privacy Policy

This Privacy Policy explains how Meetwise (“Meetwise,” “we,” “us”) collects, uses, and protects your information when you use our web application and Chrome extension (together, the “Service”). By using the Service, you agree to the practices described here.
1. Information we collect
Account information
When you sign up, we collect your email address and authentication identifiers. If you sign in with Google, we receive your email and basic profile information from Google's OAuth service. We do not receive or store your Google password.
Documents you upload
We store the files you upload (PDF, TXT, Markdown), the text extracted from them, and the vector embeddings derived from that text. These are used solely to answer your questions and are scoped privately to your account.
Questions and answers
We store the questions you ask and the answers generated for you, including answers produced during a meeting. For meetings, we do not persist the raw meeting transcript or captions — captions are processed transiently to detect and answer questions, and only the resulting question/answer records are stored.
Billing information
Payments are processed by Paddle, our payment provider and Merchant of Record. We do not collect or store your full card details. We store a subscription record (plan, status, trial and renewal dates) and identifiers Paddle provides to link your subscription to your account.
Usage data
We keep limited usage counters (e.g. the number of answers generated in a period) for operational and analytics purposes. This is not used to cap your usage.
2. How we use your information
- To provide the core Service — indexing your documents and generating cited answers.
- To authenticate you and secure your account.
- To process subscriptions, trials, and payments through Paddle.
- To operate, maintain, debug, and improve the Service.
- To communicate with you about your account or important changes.
We do not sell your personal information, and we do not use the content of your documents to train machine-learning models.
3. Third-party services (sub-processors)
We rely on the following providers to deliver the Service:
- Supabase — authentication and database (account data, document text, embeddings, question/answer records).
- DigitalOcean Spaces — private storage of your uploaded files.
- OpenAI — generates embeddings and answers. Your question text and relevant document passages are sent to OpenAI to produce a response. Per OpenAI's API policy, this data is not used to train their models.
- Paddle — payment processing and tax handling as Merchant of Record.
- Google — OAuth sign-in, and, within the Chrome extension, the meeting captions you choose to capture during a Google Meet session.
4. The Chrome extension and Google Meet
The extension captures live captions during a Google Meet only while you have started capture in the side panel. Captions are used in the moment to detect questions and generate answers; the raw transcript is not stored on our servers. You control when capture starts and stops.
5. Data retention
We retain your account data, documents, and question/answer records for as long as your account is active. When you delete a document, its file and derived chunks are removed. When you delete your account, we remove your associated data as described in Section 6.
6. Your rights and choices
- Access & deletion — you can delete individual documents at any time, and you may request deletion of your account and all associated data by contacting us.
- Subscription — you can manage or cancel your subscription through the customer portal linked from your Account page.
- Depending on where you live, you may have additional rights (e.g. under GDPR or CCPA) such as access, correction, portability, and objection. Contact us to exercise them.
7. Security
We use industry-standard measures to protect your data, including encrypted connections, private file storage with access scoped to your account, and authenticated API access. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. International data transfers
Our providers may process and store data in countries other than your own. By using the Service, you consent to such transfers consistent with this Policy and applicable law.
9. Children's privacy
The Service is not directed to individuals under 16, and we do not knowingly collect their personal information.
10. Changes to this Policy
We may update this Policy from time to time. Material changes will be reflected by updating the “Last updated” date above, and where appropriate we will notify you.
